Privacy Policy

At WTD (“we”, “us” or “our”), your privacy and data security are our top priorities. This policy outlines the information we collect, how we use it, how it’s protected, and your rights as a user.

1. User Roles and Content

The WTD Platform (the “Platform”) serves multiple user types, including:

  • Educators: Teachers, instructional staff, school leaders, or education professionals engaging with the platform for professional development.
  • School and District Administrators: Authorized personnel overseeing educator engagement and platform implementation through a group-based subscription plan.
  • Professional Development Providers (“PD Providers”): Individuals or organizations who publish content like posts, articles, courses, events, or modules.

PD Providers explicitly consent to share their content publicly or with specified audiences on the platform. Such content may be:

  • Marked with the PD Provider’s name or organization (as submitted by the user)
  • Featured in Platform discovery areas, experience listings, or curated learning paths for educators.
  • Subject to moderation to ensure alignment with our user agreement community standards.

2. How We Collect Data

We collect data through:

  • Voluntary input by users (e.g., when creating an account or posting content)
  • The generation of system logs during platform use.
  • Cookies and session tracking for authentication, functionality, and for creating a seamless user experience.

3. Information We Collect

We collect only the data necessary to deliver, secure, and improve our services. This includes:

  • “Account Information”: Name, email, role, school/district position, educator focus, state, country, school (if provided), district (if provided), career start date (if provided), teaching subject (if provided), and answers to select ice breaker questions (if provided).
  • “Content Data”: Information submitted by PD Providers, including insights, experiences, videos, images, course materials, and profile information submitted intentionally for educational access and discovery.
  • “Usage Data”: Information about how users interact with the Platform and Content hosted on it, including collaborations, comments, shared materials, anonymized feedback, likes, implementations, questions, and other engagement or interaction with the Platform.
  • “Communication Data”: Emails and any information related to support requests sent to us.

We do not collect biometric, geolocation, financial, or social media data, unless explicitly provided by the user for a specific purpose.

4. Data Ownership & Retention

PD Providers retain all intellectual property rights, title, and interest in the content they submit to the Platform, but grant WTD a limited license to display, promote, and distribute this content within the platform for the purposes of educator engagement and professional development.

We retain Account Information for no longer than 60 days after account deletion, unless otherwise required by law.

5. Data Deletion and Access Rights

Users may:

  • Access and update, to the extent allowed, their Account Information at any time through account settings
  • Request deletion of their data via 
  • Export their personal data upon request

All deletion requests are honored within 30 days. We fully delete—not just de-identify—user data unless otherwise required by law or an applicable agreement.

6. Data Security and Infrastructure

The Platform is built with a strong commitment to protecting user data and ensuring reliable Platform performance. We implement both technical and organizational safeguards, including:

  • Secure authentication using school email verification and optional Single Sign-On (SSO/OAuth) for school districts
  • Encrypted data storage and transfer, including user credentials and activity data
  • Role-based access control (RBAC) to ensure that only authorized personnel can manage sensitive data or platform content
  • Daily data backups and recovery procedures hosted on Amazon Web Services (AWS)
  • Content moderation tools to report content that violates our community standards
  • Secure payment processing through PCI-compliant providers (Stripe)
  • Ongoing uptime monitoring, with a target of 99.9% platform availability
  • Data encryption both in transit and at rest using TLS 1.2 or higher
  • Authentication: We enforce strong password requirements (min. 8 characters with complexity rules).
  • Two-Factor Authentication (2FA): Required for admin accounts; optional for users.
  • Monitoring: Real-time monitoring, firewall protection, and intrusion detection are in place.
  • Penetration Testing: Annual third-party security audits ensure continual compliance.

Despite these measures, no method of transmission over the internet or method of electronic storage is 100% secure. Users are encouraged to contact us immediately if they suspect unauthorized access to their accounts.

7. Use of Cookies

We only use cookies essential for platform functionality (e.g., authentication and session persistence). No tracking cookies or ad-based cookies are used, and a cookie notice is presented upon first visit to the Platform, allowing users to manage preferences.

8. Third-Party Data Sharing

We do not sell user data or share any data with advertisers. Limited sharing occurs only as necessary, including with essential service providers, and if an account was created through a group agreement with a school district, with such school district.

9. Analytics & Reporting

WTD uses internal tracking tools to analyze platform usage and improve the user experience for educators. These analytics help us understand:

  • Which features are most useful
  • Where users may need support
  • How we can personalize and improve the platform

We may also provide aggregated, anonymized usage reports to schools or districts to help them understand engagement and support planning. These reports:

  • Do not include personally identifiable information
  • Do not allow administrators or others to view individual user activity
  • Are used only for educational program improvement

We may share limited usage metrics with verified school or district administrators, such as the number of educators who have registered, logged in, or completed key activities. This reporting is strictly for the purpose of supporting development planning and platform engagement. These reports:

  • Are only shared with authorized personnel from the educator’s affiliated institution
  • Never include individual educator content, messages, or activity streams unless we have received explicit consent from the educator.
  • Never include personal or sensitive data without the educator’s knowledge or consent.

We do not use tracking for advertising purposes, nor do we share tracked behavior with advertisers.

10. Children’s Privacy

The Platform is intended for use exclusively by adult educators and PD Providers, and you must be at least 18 years old to access the Platform.

In order to ensure our handling of education-related data meets high standards of privacy and security, we expressly prohibit the posting, sharing, commenting, or disseminating of information subject to the protections of the Family Educational Rights & Privacy Act (“FERPA”), Children’s Online Privacy Protection Act (“COPPA”), and any other applicable state or federal education privacy laws.

11. International Use

If you access the Platform from outside the United States, please be aware that your information will be transferred to, stored in, and processed in the United States. By using the Platform, you acknowledge and consent to this transfer and the application of U.S. laws and data protection standards, which may differ from those in your country of residence.

12. Advertising & Tracking

The Platform does not display advertisements or allow third-party ad networks to collect personal data or serve targeted ads. We use only limited analytics to understand platform engagement, and all analytics are anonymized and aggregated.

13. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices, legal requirements, or service offerings. Material changes will be communicated via email to the address on file and/or through prominent notice on the Platform.
